Key Deadlines:

1. Housing reservations deadline: May 31, 2025
2. Add-on purchases deadline: June 20, 2025
3. Event registration deadline: July 24, 2025 (end of event)

Housing Reservations

Operation

The housing reservations are controlled by the Contact module's User Defined Field 2. This field is a required dropdown on the housing page with two options:

    1. Default option: "No Need for on-campus housing"
    2. Second option: "Yes, need on-campus housing"

The field's "Editable until" property is set to June 1, 2025, 12:00 AM. After this deadline:

    • The field becomes uneditable
    • Users can't select the "Yes" option
    • The Accommodations section is skipped entirely

Messaging System

Two HTML components on the Accommodations page display context-sensitive messages:

Pre-deadline message (visible from 12-01-2024 to 06-01-2025):

"You waived reserving an on-campus room in Maple Hall. For information on other local accommodations, please visit: https://learn.mines.edu/chemed2025/lodging-travel/"

Post-deadline message (visible from 06-01-2025 to 08-21-2030):

"On-Campus Housing Reservations Closed. Reservations for campus housing have closed. For information on other local accommodations, please visit: https://learn.mines.edu/chemed2025/lodging-travel/ for details."

Add-on Purchases

 Operation

Add-on purchases are controlled by the Contact module's External Id field, functioning similarly to the Housing field. This field is a required dropdown on the housing page with two options:

    1. Default option: "No add-ons needed"
    2. Second option: "Yes, need some add-ons"

The field's "Editable until" property is set to June 21, 2025, 12:00 AM. After this deadline:

    • The field becomes uneditable
    • Users can't select the "Yes" option
    • The Add-ons section is skipped entirely

Messaging System

Two HTML components on the Add-ons page display context-sensitive messages:

Pre-deadline message (visible from 12-01-2024 to 06-21-2025):

"You have decided not to purchase additional add-on items."

Post-deadline message (visible from 06-21-2025 to 08-21-2030):

"The deadline for purchasing add-ons has past."

Modifying Deadlines for Either Section

To change deadlines:

  1. Update the respective Contact module's "Editable until" property
  2. Adjust visibility settings for both HTML message components to reflect the new deadline
  3. Double check to ensure all related dates are consistently updated across both sections

Important Considerations/Key points

  • The overall form remains accessible for to late/onsite registrations until the event's end, even after housing and add-on deadlines pass
  • Changing the May 31 housing deadline requires updates to multiple components
  • Changing the June 20 add-on deadline requires updates to multiple components
  • If the Housing cutoff date of June 1, 12:00 AM (and the  Add-ons cutoff date of June 21, 12:00 AM) is maintained, no additional changes are needed to the messaging components or the dropdown fields
  • The Housing and Add-on cutoff dates can be changed independently from each other

Instructions for Updating Tour Modules after Prices have been Determined

There are currently two different tour modules: a marketing module and a function module. Follow these steps to update the form once tour times and prices have been determined. The changes will need to be made to both the normal and the Add-ons interactive site.

  1. On the Event setup page: Set Tour prices & inventory in the Event setup page by:
    1. Navigate to the Event Setup section and open the Functions module 
    2. Locate the Tours function group, for each tour (Denver Downtown Aquarium, NOAA/NCAR, NREL) make the following changes:
      1. Change the price from the $1 placeholder to the correct value
      2. Change the inventory from the the 30 placeholder to the correct value
  2. On the Interactive Site page
    1. Edit the 25SP1154A ChemEd 2025 regular site: 
      1. On page 1 open the last Contact module:
      2. expand the "Billing Title"field.
      3. Replace the default value with the "Prices are Set" phrase (it can be found in the drop down field)
      4. Close the module
    2. Go to page 8
      1. Open the Functions module
      2. Expand each tour and add to the end of the label for each tour this Date, time phrase modified for the correct information:
         (Sun, July 20, 4pm)
      3. Close the module
    3. Change the Version number in the first text field on page 1
    4. Save the form
    5. Run the form and make sure you have the latest version
    6. Proceed through the form and make sure the tours are activated.
  3. Repeat Step 2 for the 25SP1154A ChemEd 2025 Add-ons form

On-Campus Housing Accommodations

Campus Accommodation Information

A limited campus housing block will be available for the SEPM 2026 conference from June 13-19, 2026. The campus housing is at the attendee's own expense. 
To make a reservation/booking in Maple Hall follow step B in the section below.

Important notes about an on-campus housing reservation:

  • All room are single occupancy and is $82.50 USD per night.
  • Housing reservations include breakfast each day at the campus dining hall.
  • Booking includes a 2 night minimum stay
  • Check-in desk is open from 4pm to 10pm Mountain Time. Please make sure your arrival time coincides with these hours.
  • Check-out must be done by 10am Mountain Time.

  • You will share a private lockable bathroom with another participant, if you would like to request a particular suitemate please do so in the additional requests field.
  • Campus housing must be reserved by May 31, 2026.
  • Residence Hall rooms are for adults only – NO CHILDREN under 18 are allowed. For extenuating circumstances please contact conferences@mines.edu.

Mines Residence Halls - Maple Hall

Maple Hall opened in 2011 and is a 5-story residence hall located across from Mines Market dining and 17th Street. Maple Hall is composed of a horseshoe shape with a north and south wing surrounding Maple’s front courtyard. Each suite is formed by two rooms connected by a shared bathroom. For this event each room will be single occupancy. Each reservation includes a breakfast in the Mines Market Dining Room.

    Room Description
    Single occupancy room with on one or two Twin size bed(s). For this event all rooms will be single occupancy regardless of the number of beds in the room. Pricing is $95 per person/night. Each reservation includes: one bath towel set (bath towel, hand towel, and wash cloth) and a breakfast in the Mines Market Dining Room.

Administrative & Linen Fee

Anyone who reserves a room must also pay a $35.00 USD fee for the reservation management and linens used during your stay.  It is a one time fee and is the same amount regardless of the length of your stay. Linen packs will be placed on the bed and include sheets, pillow, pillowcase, blanket and towel. One linen pack will be included per stay and additional linen packs are not available. Free laundry is available on campus, attendees should provide their own detergent. Please check the box below to accept the fee.
