First Visit:  After a successful sign in and if this is the first time you have visited the portal, you will land on the first page of the site. From there you can proceed through the site to establish your sponsorship.

After First Visit: After completing the form and submitting it, subsequent visits through this portal will place you on the "Summary / Final Review" page. From there you can navigate to various parts of the site to make changes.

Timeline: Sponsorships to be secured and paid in full by June 20, 2025.  This allows ChemEd2025 to incorporate sponsorship details on the website and include logos on materials as indicated per individual sponsorships.

There are 2 contact custom fields for the Group Contact (Sponsor person who is paying for the event) that will hold the 2 uploads.  When filtering on them you have the options for each upload to "Either"  "Received"  "Not received"

The two fields as "and" together so the truth table for sending the LOG/AD followup email is as follows

For Chemed 2025 we are using a function module to gather the names of the booth staff and not a group sign up. 

However when the function a names are added to the list of attendees they will be "Grouped" to the attendee who filled out the form.

Question Does the attendee who creates the record then appear twice in the data base if they also deride to be a booth attendee?

 

There are 3 different groups of people who are registering:

plain old attendees

exhibitors and the booth attendees

Spnsorships and if they buy a booth their booth attendee

All of these have slightly different Payment, substitution and cancellation policies.

There are 3 check boxes on the form:

  • Event's global T&C policy
  • Payment Policy for each module such  (these come from
    • the Registrations global Payment policy
    • but may be superseded by each individual registration type's payment policy if that registration type is selected.  therefore there maybe more than one registration type Payment policy under the T&C section on the summary page. 
  • Cancellation Policy for each module such  (these come from
    • the Registrations global Cancellation policy
    • but may be superseded by each individual registration type's Cancellation policy if that registration type is selected.  therefore there maybe more than one registration type Cancellation policy under the T&C section on the summary page

In this form we are not using the group function to take names of booth attendees. 

(If we simply wipe the group member label form Localization item and leave it blank, EA puts in a default of "Group Members". 

  However,  adding this style to the HTML source box

Changes all elements with h4 to not display. But h4 is used as headings on the summary page so any heading you want to see on the summary page would disappear as well.

So the option is to put a period in for the default label in the localization for Group Member and then adding -3.0em as bottom margin

A count of 1 means you are only paying for the sponsorship and no one will be attending.</p>

Exhibit Booth Selection

Attending Exhibit Booth Staff

Please check the box "Exhibit Booth Personnel" below to enter up to two (2) names of people that will be staffing your exhibit. Staff members may attend any of the Plenaries or Technical Sessions. Admittance to the special activities is not included. Providing this information will assist the organizers with logistics.

If you are going to be one of the two people, please enter your name also.  If your name is not in the list below, it is presumed that you will NOT be attending. 

If you don’t know the names now or if you need to change them in the future, you may return to this portal and make any changes to the staff members by July 15, 2025 (alternatively, please provide Learn@mines.edu their names by July 15, 2025).

The below text was taken out of the main form on April 3, 2025, due to the Exhibit Booths being sold out for this conference. This policy still applies to all sponsors and exhibitors who purchased an exhibit booth for this conference.

 

Exhibition Booth Staff Substitution Policy

If you have elected to purchase an exhibition booth, the names of the booth staff can be changed if a written notice is emailed to the Conference and Event Services office (Learn@mines.edu). The following policy applies:

  • Booth Staff substitutions may be made without cost penalty at any time up to July 15, 2025.
  • There are no refunds for the actual sponsorship contribution.

Cancellation

  • Sponsorship contributions cannot be cancelled

ChemEd 2025 reserves the right to cancel this event if enrollment is insufficient and return all sponsor contributions.

 

Photography Notice

Participants and instructors attending conferences, programs, and/or related events (the Events) hosted by or offered through Conference and Event Services may be photographed, filmed, and/or otherwise recorded. It is not always possible to notify or identify individuals photographed at the Events. As a participant or instructor or coordinator of additional registrants under your name, you authorize Colorado School of Mines (Mines) to capture, during the conduct of the Events, still and/or moving images in which you may be included.

Individuals photographed at the Events do not receive any compensation for the images and do not have the opportunity to review, edit, or modify images prior to their use by Mines. You also acknowledge that by listing additional names for attendees associated with this registration, their rights regarding inspection or approval of media of them at the event is also waived upon their entry and continued presence on the event premises. Images may be published or otherwise used for Mines and Mines-related publications, websites, news releases and news stories, marketing purposes, advertisements, and other uses.  Images of non-Mines-student minors may be used only with written release, signed by a parent or guardian, authorizing the use of the child's image.

Payment

Payment for your registration can be made online using a credit or debit card. Payment can also be made by wire transfer of funds sufficient to cover the cost of your registration. Please be aware that your registration is not effective until full payment of all registration fees has been received.
